Terms and Conditions

Terms

All terms are either per week (Saturday to Saturday) or per short break for the accommodation as equipped and described. Short Breaks are either a 3 night weekend break (Friday to Monday) or a 4 night mid week break (Monday to Friday). Prices quoted are inclusive of VAT at 20%. Use of all The Thatches leisure facilities is included in the price of your holiday, as well as gas, electric & water, bed linen, bath towels. We also provide a weekly cleaning service free of charge and parking for one car.

Your accommodation is available from 3pm on your day of arrival and must be vacated by 10.30am on your day of departure. Please advise us if you are arriving after 5pm so that we can make arrangements to meet you or leave a key. Please bring your Booking Confirmation Form to Reception on arrival.

Booking Confirmation

As confirmation you will receive by post or email a completed booking form along with a copy for you to sign and return. If you are booking more than 42 days in advance of your holiday, you will receive an invoice requesting a non-refundable deposit of 25% of the full rental price. If you are booking less than 42 days prior to your holiday, full payment is required at the time of making your reservation.

Payment

The balance payment is due 42 days prior to arrival. This can be made by debit or credit card. Cheques should be made payable to McFarland Leisure Partnership. We reserve the right to cancel bookings not paid by this date. In this event the deposit will be retained.

Cancellations and Changes to your Booking

Please telephone us immediately if you have to cancel a holiday and also email us at sales@thethatches.co.uk., or send us a letter to confirm this cancellation. The date of the postmark or receipt of email is the date upon which the cancellation becomes effective. A confirmation of cancellation will be sent to you.

If you cancel your holiday more than 48 days before arrival you will forfeit your booking deposit. If you cancel within 42 days of your holiday date, then unfortunately you will forfeit your full payment. We recommend that you take out the appropriate insurance cover to protect against cancellations.

Once confirmed and your deposit has been paid, any changes to your booking may incur an administration fee.

Availability

The booking is made on the understanding that your accommodation (which may be privately owned) will be placed at your disposal on the dates stated. Where Force Majeure does not make this possible we have the right to cancel your booking.

Circumstances amounting to Force Majeure include any event which we or the owners could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your accommodation (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage, break-in, criminal damage or any similar event beyond our or the owner's control.

In these events we will endeavour to offer you alternative accommodation, if available. If we cannot do so, or you do not wish to accept the alternative, we will refund all monies paid, however you will have no further claim against us for compensation.

We reserve the right to alter or withdraw amenities or facilities without prior notice in the event we need to carry out repairs, maintenance, or where weather conditions or circumstances are beyond our control.

Number in your Party

The maximum number of people allowed is clearly stated in the accommodation description and extra persons cannot be accommodated.  Only those guests listed in the Booking Form shall be entitled to occupy your Lodge for their use and any breach of this condition shall entitle us to terminate the booking and to exclude forthwith from the Holiday Village both the unauthorised person(s) together with your party.  Any payments already made will also be forfeited.

Babies under 2 will not be counted as members of the party so long as they are in a separate cot bed (or travel cot). Please provide your own cot linen.

Group / Party Bookings

The organiser or leader of a group or party booking is responsible for advising us of all party details and requirements. Please note that we are a family holiday village and therefore do not accept groups under the age of 25. Furthermore we do not accept bookings for hen or stag parties.

Behaviour

You are responsible for the behaviour of all members of your party. Behaviour should not be excessive, noisy or disruptive, especially at night. Offensive or aggressive language towards our staff is not acceptable. If we feel you or any member of your party are not suitable to continue their holiday because of unreasonable or antisocial behaviour, damage to property, or danger or significant annoyance to others, your holiday contract may be terminated and you will be asked to leave. No refund will be due and we reserve the right to claim compensation for any damage.

Safety

  • Diving is not permitted in any part of the swimming pool.
  • Children under 16 must be supervised by an adult in the swimming pool.
  • If you wish to swim before 9am and after 6pm between October and April, a disclaimer form must be completed at Reception.
  • All visitors to the Thatches must complete a health and safety form prior to using the Leisure facilities.
  • Barbeques are not permitted inside lodges or on the decking of lodges.
  • Take particular care not to do anything which might cause a fire ? dispose of cigarettes and barbeques responsibly. (All lodges are non-smoking).
  • Fireworks may not be brought onto or used on the park.
  • At all times please give way to pedestrians and cyclists, keep to the left and keep within the 10mph speed limit.

Vehicles

There is one allocated parking bay per lodge with ancillary parking nearby. There is a strict 10mph speed limit throughout. Your vehicle, accessories and contents are left at your own risk. The Thatches will not be responsible for loss or damage to the vehicle or its contents except through negligence of its employees.

Pets

We have 3 pet-friendly rental lodges Bay Tree Lodge, Driftwood and Foxgloves.  A £50 surcharge on the rental tariff is charged when a pet is included in your party. Registered assistance dogs are permitted.
